When users share web links for CLM content, links to the associated Important Safety Information (ISI) and Prescribing Information (PI) documents are included at the bottom of the message. This ensures users satisfy compliance regulations requiring ISI and PI documents to be available to HCPs whenever they view promotional content. When recipients select the ISI and PI links, the documents display in the HCP Content Player.

ISI and PI links are supported when sharing presentations via Engage chat and third-party messaging apps, but not when sharing presentations via QR code.

Configuring ISI and PI Links in Web Link Messages

To configure ISI and PI links:

  1. Ensure Sharing CLM Content via Web Link or QR Code or Sharing Websites via Web Link or QR Code are configured.
  2. Ensure Accessing ISI and PI Documents for CLM Content in the HCP Content Player is configured.
  3. Ensure the following Veeva Messages are active for the appropriate languages:
    • ISI_FOOTER;;EngageLink
    • PI_FOOTER;;EngageLink

  4. Ensure the Message_vod VMOC does not filter out languages users need for ISI/PI links.

Managing ISI and PI Link Text

Admins can manage the text displayed for ISI and PI links using the following Veeva Messages:

  • ISI_FOOTER;;EngageLink – defines the text for the ISI link
  • PI_FOOTER;;EngageLink – defines the text for the PI link without a boxed warning

Configuring PI Links with Boxed Warnings

Boxed warnings are required warnings for certain products informing users about the risks associated with each product. PI documents can include boxed warnings, which must be included when sharing content with HCPs.

In Vault, to indicate a PI document contains a boxed warning, content admins must select Yes for the contains_boxed_warning__v on the PI document. When the PI document syncs to CRM, the Contains_Boxed_Warning_vod field on the Reference_Document_vod record created for the document is automatically selected.

To configure PI links to include boxed warnings:

  1. Grant the CLM integration user FLS Edit permission to the Contains_Boxed_Warning_vod field on the Reference_Document_vod object.
  2. Grant end users FLS Read permission to the Contains_Boxed_Warning_vod field on the Reference_Document_vod object.
  3. Ensure the PI_BOXED_WARNING_FOOTER;;EngageLink Veeva Message is active for the appropriate languages.
  4. Ensure the Contains_Boxed_Warning_vod field on the Reference_Document_vod object is appropriately mapped to the Vault document field contains_boxed_warning__v in the CLM Admin Console.

Managing PI Link Text with Boxed Warnings

If PI links with boxed warnings are configured, manage the PI link text using the PI_BOXED_WARNING_FOOTER;;EngageLink Veeva Message.

Including ISI and PI Links in Web Link Messages

When users share a web link for a presentation, ISI and PI links are included when either of the following is true:

  • The selected presentation is an auto-published presentation, a binder and slides presentation, or an approved website. Both ISI_Document_vod and PI_Document_vod fields are populated on the CLM_Presentation_vod record.
  • The selected presentation is a custom presentation. At least one of the key messages in the presentation has the ISI_Document_vod and PI_Document_vod fields populated. The message links to the ISI and PI documents for the first key message in the presentation with both fields populated.

Both the ISI and PI documents must be Approved. The CDN_Path_vod field on the Reference_Document_vod records for the ISI and PI documents must also be correctly populated.

If a presentation is associated with either an ISI document or a PI document, but not both, users cannot share the presentation via web link.

The ISI and PI text is stamped on the Sent_Message_vod record created when sharing a web link. Interactions with the ISI and PI document links are tracked on two separate Message_Activity_vod records. Both are associated with the Sent_Message_vod record for the original presentation web link.

The following needs to be configured to include ISI and PI text for web links sent via Engage Chat in imported chat logs:

Selecting the Appropriate Link Language

Customers may have ISI and PI links defined in multiple languages. To ensure the message generated for the web link does not use multiple languages, the language of the ISI and PI links is selected based on the following logic:

  • If there is a message template selected, match the language of the message template
  • If there is no match to a message template due to one of the following reasons, match the language of the CLM_Presentation_vod record
  • Message templates are not configured
  • The user select No Message
  • If there is no match to the presentation, match the end user's language
  • If there is no match to the end user's language, the presentation cannot be sent
