Restricting Controlled Substance Delivery by State

Organizations can limit which delivery methods are available for controlled substance samples, helping users comply with state regulations. Restrictions are set in Veeva CRM on a state-by-state basis, enabling organizations to ensure that call sampling is only restricted for calls in the specific states where these regulations apply.

For example, HCPs in New Jersey can only receive controlled substances via sample request/BRC. Dr. Ackerman requests a sample of Narbrax, a Schedule III product, during a call at his New Jersey practice. On the call report, BRC is the only available delivery method for Narbrax. Sarah selects a BRC of Narbrax and captures Dr. Ackerman’s signature for the sample.

Configuring State Delivery Restrictions

Ensure initial configuration is complete before enabling this functionality.

To restrict delivery methods for controlled substance sampling:

  1. Grant admins the following permissions:

  4. Add the Settings_vod field to the Samples State Settings Layout on the Samples_State_Settings_vod object.
  5. Ensure the appropriate VMOCs are enabled for the Sample_State_Settings_vod object.

  6. Create Samples State Settings records for each state where controlled substance delivery is restricted. Enter the appropriate information for each record. For example:

Using State Delivery Restrictions

There are three options for restricting sample delivery methods in a specific state:

  • Hand Sample Only - Prevents users from disbursing controlled substances via sample request/BRC
  • BRC Sample Only - Prevents users from disbursing controlled substances via hand delivery
  • No Sample - Prevents users from disbursing any controlled substances for the given state

Only create records for states where restrictions are required. If a record does not exist for a state, users can disburse samples via hand sampling or BRC, if configured.

If Restricting Sampling by Account Credentials and State is also enabled, both sets of restrictions apply. For example, if there is a Samples State Credential Settings record for New Jersey restricting controlled substance sampling to MDs only, and there is also a Samples State Settings record restricting controlled substance delivery to BRCs, then controlled substances can only be disbursed via BRC to MDs in New Jersey.
