Filtering Event Budgets

Admins can configure the list of budgets that display as available for an event to only display budgets with a product, program type, event format, or location type that match the event or the event’s topic.

By reducing the number of budgets that display to end users, end users can quickly select the appropriate budget to add to their event, which in turn reduces any potential errors that need to be corrected during event approval.

Configuring Budget Lookup Filtering

Business Admin Users

To configure this feature for business admin users:

1. Ensure Budgets and Expenses is enabled.

2. Grant FLS Edit permission to the following EM_Budget_vod fields being used for filtering and matching:

   • Product_vod
   • Program_Type_vod
   • Event_Format_vod
   • Location_Type_vod

3. Grant FLS Edit permission to the fields on the EM_Event_vod or EM_Catalog_vod objects, based on budget fields selected for filtering in Step 2, and if the filter should match against the event or the event’s topic:

   • Product_vod
   • Program_Type_vod
   • Event_Format_vod
   • Location_Type_vod

   When a filtering field is enabled on the EM_Event_vod object, matches to the same field on the EM_Catalog_vod record representing the event’s topic are ignored.

4. Select the Enable_Event_Budget_Filter_vod Events Management Setting check box.

End Users

To configure this feature for end users:

1. Ensure Budgets and Expenses is enabled.

2. Grant FLS Read permission to the following fields on the EM_Budget_vod, EM_Event_vod, and EM_Catalog_vod objects, based on which fields were selected for matching by the Business Admin User:

   • Product_vod
   • Program_Type_vod
   • Event_Format_vod
   • Location_Type_vod

Defining Budgets

Populate the following fields on the appropriate EM_Budget_vod records based on the fields configured for filtering:

• Product_vod
• Program_Type_vod
• Event_Format_vod
• Location_Type_vod

Viewing the Filtered List of Available Budgets

When adding a budget to an event, the list of EM_Budget_vod records automatically filters based on the following:

• Status_vod = Available_for_Use_vod
• EM_Budget_vod records that match configured filtering fields on the EM_Event_vod record or EM_Catalog_vod record representing the event’s topic

Budgets are considered a match if the configured filtering fields are blank on the budget, event, or catalog record.
